Teams Boards and Cards
Manage tasks, stages, SOPs, assignments, reviews, and reusable board exports in PromptRails Teams.
Best for
People assigning work to AI employees and reviewing their results
Boards organize a repeatable process. Cards are the individual pieces of work moving through it. Use a board for a process with visible stages, such as research, content production, support triage, or document review.
Create a board
Open Boards to create a board or use a template. A template supplies a starting process, including stages and AI roles. Review the board instructions and connections before running its starter work.
For a process that does not fit a template, use New → Workflow, described in words. Explain the outcome, inputs, handoffs, and human checkpoints. You can refine the resulting board as you learn from real tasks.
Write the board instructions
The board’s SOP is the shared operating procedure employees follow in addition to their own role guidance. Open board settings to edit it. Include:
- What enters this board and the output the team should produce.
- What each stage means and when work may move to the next one.
- Which sources to use and how to handle missing information.
- Who reviews the result and which actions require approval.
An instruction such as “ask before sending” explains the desired behavior. Use the actual approval controls when an action must be held for a human decision.
Work with a card
Give the card a concrete title and describe the expected result. Assign a person or an AI employee, add files and a due date where useful, and use comments to keep context next to the work. Mention an AI employee when you want that employee to contribute; mentions and follow-up comments can trigger further AI work.
Open the card to inspect progress, comments, attachments, subtasks, and artifacts. When an employee delegates, the child tasks keep the work connected to the original request. Review the output and use the available acceptance or change-request actions to give clear feedback.
Review the board as a whole
Use the board’s contextual sections to inspect its team, work needing your decision, activity, and health. Activity records changes and their actors, so you can follow a handoff or review decision without reconstructing it from chat.
Workspace admins control the board’s approval gate, daily spend cap, and trusted email senders. See Approvals and automation.
Export and reuse a process
Export board produces a reusable board package. Choose whether to include cards, employee guidance, and recurring workflows. Credentials, API keys, conversation history, and execution history are not included.
From Boards → Import, inspect the import plan before confirming. Import creates a new board. It can reuse employees already in the workspace without overwriting their current guidance. Resolve any model substitutions and review integrations that still need connecting.
Imported recurring workflows arrive switched off, and import does not dispatch employee work. Review the new board and enable the recurring work when you are ready. CSV import is a separate option for adding tabular task data; it is not the portable board package.
